§1. GENERAL PROVISIONS
1.These Terms and Conditions define the rules of participation in the conference entitled 24th Meeting of the Biofeedback Federation of Europe (BFE 24th Meeting), organized by Biofeedback Federation CIC, with its registered office at 10 John Street, London, WC1N 2EB, United Kingdom (“Organizer”), and co-organized by Zachodniopomorska Agencja Rozwoju Turystyki ZART sp. z o.o. TIN: 8512391982, REGON identifier: 811142420, with its registered office at ul. Władysława Broniewskiego 12, 71-460 Szczecin, Poland (“Co-Organizer”).
2.The Conference will take place in Szczecin, from 23 to 28 March 2026.
3.The Privacy Policy of the BFE 24th Meeting, available on the registration form website, constitutes an integral part of these Terms and Conditions.
4.A conference participant is a natural person who has completed registration via the online form and paid the conference fee.
§2. CONDITIONS OF PARTICIPATION
1.Participation in the Conference requires completing the registration form available on the Conference website and paying the applicable fee (if by bank transfer within7 days, all bank fees must be paid by the sender).
2.In the registration form, the participant is required to provide the data necessary for registration: first name, last name, e-mail address, invoicing details, and any other information required by the Organizer.
3.Participants registering under reduced fees (e.g., student rates) are required to submit a document confirming their status within 7 days from the date of registration. Failure to provide such a document will result in the fee being changed to the full rate.
4.Each participant receives a registration confirmation by e-mail.
§3. FEES
1.Participation in the Conference is subject to a fee. The amount of the fees is specified in the registration form on the Conference website.
2.The fee covers: participation in the selected parts of the Conference (according to the chosen package), conference materials, and a certificate of attendance.
3.Prices are quoted in euros and include applicable taxes in Poland.
§4. METHOD OF PAYMENT
1.Payments may be made by bank transfer or credit card to the account details provided by the Co-Organizer.
2.Settlements are carried out by the Co-Organizer or by payment operators cooperating with the Co-Organizers.
3.Invoices are issued based on the details provided during registration.
§ 5. WITHDRAWAL AND REFUNDS
1. Withdrawal from participation in the Conference must be made in writing (sent to the Organizer’s e-mail address: conferences@bfe.org).
2. In the case of withdrawal submitted by 15 January 2026, the participant is entitled to a refund of the fee minus an administrative charge of €100.
3. After 15 January 2026, as well as in the case of the participant’s absence (no-show), the conference fee is non-refundable.
4. If the Conference is cancelled by the Organizer, participants are entitled to a full refund of the amount paid, minus an administrative charge of €25.
§ 6. PARTICIPANTS’ OBLIGATIONS
1. The Participant is obliged to read and comply with these Terms and Conditions.
2. Participants are required to maintain order and follow the instructions of the Organizer and Co-Organizer.
3. Recording the course of the Conference and workshops without the prior written consent of the Organizer is prohibited.
§ 7. LIABILITY
1. The Organizer and Co-Organizer are not liable for travel, accommodation, or any other costs incurred by participants in connection with attending the Conference.
2. The Organizer reserves the right to make changes to the Conference program, including the cancellation of individual sessions or workshops.
3. The Organizer is not responsible for the consequences of the use of knowledge and information acquired during the Conference.
§ 8. MATERIALS AND IMAGE
1. Materials presented during the Conference are protected by copyright. Copying, sharing, or distributing such materials without the Organizer’s consent is prohibited.
2. The Conference may be recorded in the form of photographs and videos. By accepting these Terms and Conditions, the Participant agrees to the recording and use of their image by the Organizer for documentation and promotional purposes.
§ 9. COMPLAINTS
1. Complaints regarding participation in the Conference may be submitted in writing to the e-mail address of the Organizer or the Co-Organizer.
2. Complaints will be reviewed within 14 days from the date of their receipt.
§ 10. FINAL PROVISIONS
1. The Organizer reserves the right to amend these Terms and Conditions. Any amendment shall be effective from the moment it is published on the Conference registration form website.
2. In matters not regulated by these Terms and Conditions, the provisions of the law applicable at the registered office of the Co-Organizer shall apply.
3. These Terms and Conditions enter into force on the date of their publication on the Conference registration form website.
