The organizer of the conference is Biofeedback Federation CIC, with its registered office at 10 John Street, London, WC1N 2EB, United Kingdom (“Organizer”). The co-organizer of the event, responsible i.a. for handling registration forms, processing applications and managing payments, is Zachodniopomorska Agencja Rozwoju Turystyki ZART sp. z o.o., TIN: 8512391982, REGON identifier: 811142420, (“Co-Organizer”), with its registered office at ul. Władysława Broniewskiego 12, 71-460 Szczecin, Poland.

1.PERSONAL DATA CONTROLLER
The personal data controller of the conference participants is the "Organizer". In relation toregistration and payment processing, the personal data controller is the "Co-Organizer".

2.CATEGORIES OF PERSONAL DATA PROCESSED
As part of the registration process and participation in the conference, the following personaldata may be processed:

  • first name and last name,

  • company/institution name (if applicable),

  • address,

  • telephone number,

  • e-mail address,

  • payment data (processed solely by the Co-Organizer or by entities providing paymentservices).

3.PURPOSES AND LEGAL GROUNDS FOR PROCESSING
Personal data are processed for the following purposes:

  • registration and administration of participation in the conference (Article 6(1)(b) GDPR),

  • payment processing (Article 6(1)(b) GDPR),

  • compliance with legal obligations incumbent upon the Organizer and the Co-Organizer(Article 6(1)(c) GDPR),

  • conducting informational and marketing activities related to the Organizer’s activities(based on consent – Article 6(1)(a) GDPR).

4.DATA RECIPIENTS
Personal data may be disclosed only to:

  • employees and associates of the Organizer and the Co-Organizer,

  • entities providing payment, IT, hosting, and accounting services,

  • public authorities – solely when required by law.

  • personal data are not sold or rented to third parties.

5. DATA RETENTION PERIOD
Personal data will be stored for the period necessary to achieve the purposes indicated above, and thereafter for the time required by applicable law (e.g. tax regulations). Data processed based on consent will be stored until such consent is withdrawn.

6. RIGHTS OF DATA SUBJECTS
Each data subject has the right to:

  • access their personal data,

  • rectify their data,

  • erase their data (“right to be forgotten”),

  • restrict the processing of their data,

  • data portability,

  • object to the processing of their data,

  • withdraw consent at any time (where the processing is based on consent).

Data subjects also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland (Prezes Urzędu Danych Osobowych).

Personal data are stored in systems protected against unauthorized access. Backups are encrypted, and payment data are secured in accordance with the standards of payment service providers.
